What we collect

Account email and password (hashed), optional display name, the public URLs / Place IDs you ask us to monitor, alert preferences (email, optional Slack webhook), billing status from Polar, support tickets you open, and basic server logs (IP, user agent, timestamp) for security.

Reviews (public Places path — storage posture A)

For Google review monitors that use a public Place ID / Maps URL, we store only: an opaque review id, star rating, timestamps, and whether the signal was part of the first baseline. We do not store review text, author names, theme tags, or AI drafts from Places.

Alerts and the dashboard show counts and ratings and link you to the listing on Google Maps to read and reply. Richer text and optional approved replies for listings you own are planned via Connect Google (Business Profile), which is not available yet.

AI reply drafts (Groq)

Suggested reply drafts via Groq are not generated or stored on the public Places monitoring path today (we link you to Google Maps instead). If we re-enable draft generation later — or for Connect Google — we will send review text to Groq’s API only as needed, and update this page. Drafts are never auto-posted.

Per Groq’s documentation and services agreement, Groq does not use customer API inputs/outputs to train or fine-tune models unless the customer grants that permission. We do not grant that permission. Inference content is not retained by default; Groq may temporarily log for reliability/abuse (up to 30 days) unless Zero Data Retention is enabled. Groq states retained customer data is held in the United States.

Google user data (Connect Google — not available yet)

Connect Google is a planned optional feature. When it ships, if you connect a Google Business Profile via Google’s OAuth screen, we will use Google user data only to provide review alerts and optional replies you approve for listings you own or manage. We will not sell Google user data, use it for advertising, or use it to “improve reliability” of unrelated systems. We intend to comply with the Google API Services User Data Policy, including Limited Use requirements that apply to the scopes we request. Tokens will be stored securely; you can disconnect anytime.

What we don’t collect

We do not ask for hosting, CMS, Google, or payment-provider passwords. Default monitoring uses public HTTP(S) checks and public Places data only.

How we use account and monitoring data

To run your monitors, send alerts, draft suggested review replies, operate billing, and communicate about the service. We do not sell customer monitoring data. Reliability and security logs are used to keep the service running and investigate abuse — not to train AI models and not as a secondary use of Google OAuth user data.

Retention

Deletion

Email [email protected] from your account address to request account deletion. We will delete your user record and associated monitor state. Some billing records may remain with Polar as required for payments and law. Self-serve delete in the dashboard is not available yet.

Where data is processed

OwlHound application servers are hosted in India (Mumbai region). Payment processing is by Polar. AI drafts are processed by Groq (see above; retained data in the US per Groq). Email and optional Slack delivery may involve those providers’ regions.
